Fred NXT
The goal of closing the account is to:
- prevent additional charges from being made to the account.
- prevent account statements from being generated.
Step 1: Ensure balance is $0.00 and disable debtors
This step is the same for accounts created in Fred Dispense Plus or in Fred NXT Office.
- Access Fred NXT Office > Customers > Accounts.
- Make sure that Stmt Balance and Interim Balance are both $0.00 (so that no balance is owing).
- Turn off the Debtor toggle, then Save and Close.
This step sets credit limit to $0.00 to prevent any further charges to the account and to prevent the statement from being included in bulk statement runs.
The account will no longer display under NXT Office > Customers > Accounts, however it will display under NXT Office > Customers > Customers if users want to enable Debtors again later.
Step 2: Prevent accounts from displaying at the POS
This step differs depending on whether the account was created in Fred Dispense Plus or in Fred NXT Office.
Accounts created in Fred Dispense Plus
- In Fred Dispense Plus, press F8 to access Patient Maintenance.
- Select Account Details (Debtors tab).
- Click the trash icon to remove the linked account.
- Save and Close.
The account will be reverted from a customer account back to a Patient. The account will no longer display when searching Customer accounts on POS.
Accounts created in Fred NXT Office
For accounts created in Fred NXT Office, there is no option to revert the account back to a Patient to prevent it from displaying at the POS. POS Customer search does not distinguish between an opened or closed account.
POS will prompt the user that charges cannot be made to the account due to credit limit being 0.00.
To make it more obvious that the account is closed, you can add 'Closed' or 'Inactive' to the patient name.
- From Fred NXT Office > Customers > Customers, search for and edit the closed account.
- Add '(Closed)' or '(Inactive)' to the First Name.
