Integrated Robot Stocktake

Fred Office Plus

Update Committed Quantities

  1. Tap Reporting.
  2. Set Inventory Reports to Committed Stock Report.
  3. Tap Open Report and clear the option Only show items with stock.
  4. Tap Run Report.

  1. Right click on the grey bar above the column headers and select Full Expand.
  2. Tap the first item line of the report to focus on the results displayed.

  3. Press CTRL + A on the keyboard to select all items on the report.

    The CTRL and SHIFT keys while tapping can be used to select only those items you want to set to zero instead.

  4. Right-click and select Item Quick Action.
  5. If the Welcome screen appears, tap Next.
  6. Tap to expand the Inventory tree.
  7. Tap Set or Adjust the Committed Quantity, then Next.
  8. Leave the options set as shown on the Configure Actions step, then tap Next.
  9. Tap Confirm to apply these changes, then tap Next.
  10. Tap Finish.

  1. Press F2 to open Fred Mobility.

  2. Press Login.

    Your login information for Fred Mobility should be prepopulated

  3. Press Login or Enter.
  4. In the main menu screen, tap General, then Options.
  5. Clear all the selected options, then select Quantity Committed.
  6. Tap Save, then tap Scan.

  1. Scan the item or enter a code for an item you want to update the committed quantity for.

  2. Enter the new Committed quantity and press Enter (on your Fred Mobility device).

    All quantities entered for a specific item will overwrite. If the wrong quantity is entered, scan the item once more and enter the quantity.

  3. Repeat for all committed items.
  4. Once complete logout of Fred Mobility and return your device to the charger.

Import robot stock holding into Fred Office Plus

Follow the steps below to import the stock holding in a robotic dispensing machines directly into Fred Office Plus.

  1. In Fred Office Plus, go to Assistants, then Stocktake, then click New.

  2. Enter a name for the stocktake and select Adjust stock on hand by difference when stock count was performed, then click OK.

    Example: ROBOT Stocktake YYYY.MM.DD

  3. Select Add Items > Import Stock From Robot.

  4. Click OK to proceed.

    All items in the Robot, including those with zero stock on hand, will be added to the stocktake file.

    If you see an Imported tab, then follow the steps for Review Imported Stocktake.

    1. Fix any Imported items that have been unable to match using the Barcode using the table below.

      Ensure the Imported tab does not exist before moving onto the next step.

    2. You can resolve the unmatched items using one or more of the following:

      • Delete the unmatched line

      • Use Matching Method

      • Use the Find Button to manually find the matches using description.

    The table gives you some tips for each option.

    Description

    Attempt to match spreadsheet Alias field to Alias in your Database.

    1. Attempt to match spreadsheet Alias field to Alias in your database.

    2. Change the selection for Against this field to Alias.

    3. Tap Match, then OK.

    4. Tap Validate.

    This will move any matched items to the Ready tab

    Attempt to match spreadsheet Reorder Number field to Reorder Numbers in your Database.

    1. Change the selection for Against this field to Reorder Number.

    2. Select your primary supplier using the pull down.

    3. Tap Match, then OK.

    4. Tap Validate.

    This will move any matched items to the Ready tab

    Directly match spreadsheet item to an item in your Database by searching.

    1. Select the item you want to manually match to an item in your database.

    2. Tap Find under Issues.

    3. Enter the item Alias code or description to search on.

    4. Tap Search.

    5. Select the item from the search results.

    6. Tap the forward arrow to move the item to Selected. If the wrong item is selected, tap the back arrow to move it out of Selected.

    7. Tap OK (twice).

    Repeat the above steps for all items remaining on the imported tab.

    Resolve red fields.

    This applies to all items where information in the spreadsheet was missing or invalid (wrong format). These items appear with a grid cross icon.

    1.      Tap in the red field(s) displayed and type the correct value.

    2.      Repeat for all items with red fields.

    3.      Tap Validate.

    Remove rows or items.

    1.      Select the item you want to remove .

    2.      Tap Delete.

    It is recommended to add the Committed column to the view as the Robot will import only items physically in the machine. A Stocktake will adjust the Stock on Hand level. You will need to either check the Committed items and excess stock or items in dual locations before committing the stocktake.

    Refer to Customise the grid for help with Column Chooser, adding or changing the View.

  5. Using the Committed column, confirm scripts are waiting to be sold. Update the Counted column to include the Committed value.

    Example: there is a Committed Qty of 1 and Robot has imported 7 therefore the total SOH is 8. Change the Counted from 7 to 8.

  6. Review and finalise.

    Key points to check for:

    • Check for items in both Robot and OTC/Shop Floor. Check for items with excess stock and broken packs not in the robot. Remove these lines or manually count excess stock and override the Counted column for these lines.

    • Check for large changes between Counted and SOH when Counted.
    • Check for items with SOH when counted as negative. (These may already be on order or special orders - awaiting on stock).

     

  7. Commit the stocktake.
    To update/finalise SOH figures:

    1. Select Protect.

    2. Select Calculate and then click Commit.

    3. Select Yes to commit.

      This cannot be undone.

    The SOH is adjusted by the Difference.
