Fred Office Plus
The Task Management feature incorporates Appointments and Tasks in an outlook-style calendar. The Task Management feature assists with total store management. It allows you to assign Tasks and Appointments to Users. Appointments work in a similar way to tasks, but rather than task completion; they are focussed on time management.

Example of a task
For instance, if every Monday you would like a user to apply AppCAT changes, you can set up a recurring task. This task would appear on their Task To-do list and remain there until one of them marks it as done. This means users know what is remaining to be done and you can be assured staff are always aware of these. The system also tracks which user marks a task as done, allowing you to monitor your staff.
Example of an appointment
For instance, if a staff member has Rep appointments, these can be scheduled via Appointments. This allows both you and the user to see what times the user is available for other tasks & appointments. If this is done for all your staff around existing appointments (including lunch breaks), you can very quickly see what time of day you have the most or least staff available in store.
Where can I find task management?
Task Management can be found under Assistants in Fred Office Plus. As shown below, appointments appear in a calendar view while the tasks appear in a To-do list at the bottom of the screen.
As an added benefit, Tasks and Appointments assigned to you also appear on the main My Office screen displayed when you log into Fred Office Plus (as shown below);
Create an appointment
You can create an appointment by double-clicking in the Task Management Calendar. You can also view other user calendars by selecting them on the right hand side. Both Tasks and Appointments can be edited (to assign to users or add recurrence) by double-clicking on them.
Appointments include all scheduling tools (State and End times, Recurrence etc) as well as the ability to assign to multiple users.
Appointments also have a Reminder function allowing them to appear on each resource’s screen at the designated time – notifying them of the appointment. You can Snooze or Dismiss them as required.
Create a recurring appointment
- Click Assistants, then Task Management.
- Double-click in the calendar to add a new appointment.
- Fill in the details for the appointment—for example, the Subject, Start time, End time.
- Click Recurrence.
Edit the details for the Appointment Recurrence, for example, every Monday, as shown below.
- Click OK and then click OK again.
Create an appointment for multiple resources with a reminder
- Click Assistants, then Task Management.
- Double-click in the calendar to add a new appointment.
- Fill in the details for the appointment—for example, the Subject, Start time, End time.
Select the Resource drop down, and select the resources you want to add to the appointment.
- Select the Reminder checkbox.
- Click OK.
Create a task
You can create a task in one of the following ways:
Go to Assistants, then select Task Management, then type and press Enter to open the task if you want to provide more information.
Type and press Enter from the My Office Dashboard. Double-click to open the task if you want to provide more information.
Right-click in the list of tasks and select New Task.
Mark a task as done
Tasks are similar to Appointments (including State and End times, Recurrence, Reminders and User allocation) however Tasks also have a Status indicator, which can be set to Not Complete or Done.
If a task reminder is dismissed this will also automatically mark the task as done.
Alternatively, you can right-click on a task directly from the To-do list and mark as done (as shown below):
When would I use it?
- Set up a recurring task for Jane to clean out the sales bin.
- Schedule lunch breaks, leave and other appointments (such as Rep appointments) allowing quick view of staff available to serve.
